AI automation is the use of artificial intelligence, usually large language models and machine learning, inside business workflows to complete tasks that involve language, documents or judgement. It extends traditional automation, which follows fixed rules, to work such as reading emails, extracting data from documents, answering questions and drafting responses.
How AI automation works
A typical AI automation has three parts: a trigger (a new email, form, document or ticket), an AI step that interprets the content or generates an output, and connected actions in your existing systems, such as updating a CRM record, routing a request or notifying a person.
- Something happens: a customer emails, an invoice arrives or a form is submitted.
- The AI step reads the content, classifies it, extracts details or drafts a reply.
- Rules decide what happens next, including when a person must review the output.
- Integrations update the right systems and notify the right people.
What AI automation is good at
- Classifying and routing incoming requests
- Extracting information from documents with different layouts
- Answering questions from your own policies, manuals and knowledge base
- Drafting replies, summaries and reports for a person to approve
- Spotting patterns or anomalies in data
What it is not good at
AI models can occasionally produce confident but incorrect answers. That is why reliable AI automation keeps people in the loop for important decisions, limits what the AI can access and do, and is tested on real examples before going live.
Where to start
Start with one repetitive, high-volume task that has a clear owner and a visible cost, such as answering common customer questions or processing a type of document. Prove the value, then expand to the next process.
